The Facilities Specialist assists the Facility Manager in providing proactive maintenance and responsive service and repairs and projects for MyEyeDr locations. Although the responsibilities of the Facilities Specialist may vary, there are some common duties, All Facilities Specialists retain vendors or contractors to coordinate the work and oversee repairs, maintenance scheduling and follow up. The Specialist works with a number of external vendors, operations and the Real Estate department to implement recommended strategies and tactics to meet stated goals by the Facilities Manager & Sr. Director of Real Estate. They are responsible for maintenance and facilities scheduling repairs and follow up for My Eye Dr locations which include but are not limited to plumbing, electrical, handyman services, HVAC.
Essential Duties and Responsibilities
Functions as the primary point of contact for Remedy tickets for maintenance
Collect and compile data; evaluate project or process requests; develop ad-hoc queries as requested by customers
Keep list updated for contacts and maintain data base of vendors and service providers
Effectively triage all calls based on level of urgency and need
Act as liaison with location staff and vendors in updating and maintaining a current and accurate database (which may include: forecasts, job schedules, project and job updates, trades work sequencing)
Responsible for scheduling visits of outside facility crews to the field offices
Manages vendors in terms of which vendor is assigned to which job, following up as needed
Explore, identify and participate in initiatives, processes and procedures to improve operational efficiencies while assuring quality within company policies; review and suggest ideas for improvement initiatives
Troubleshoot appliances, electrical, plumbing, HVAC and other systems and building issues.
Develop and execute repair plans, or supervise vendors if required
Maintains database for HVAC which includes make, model of equipment and service calls for HVAC issues. Service contracts & records maintained in database
Estimates jobs and reviews with Facility Manager
Available to assist and answer emergency calls after hours
Manage and keep data base of vendors up to date with current contact information-email and phone
To always demonstrate a cheerful, helpful and cooperative attitude towards customers and employees
Access Real Estate database (ProLease)and review lease dates prior to major CAPEX repair expenditures

1+ years related experience
Property management experience a plus
Facilities experience required
High School Diploma/GED Required.
AA or BA/BS in related field is desirable.
A valid Driver’s License and the ability to operate a motor vehicle may be required depending on the specific position
